Job Description (Roles and Responsibilities)
The British Embassy in Azerbaijan is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a part-time fixed-term Corporate Services Assistant/Receptionist, A1 based in Baku.
The main purpose of the job is to provide a professional service to callers, visitors, internal and external colleagues and stakeholders. Manage British Embassy general public enquiries, responding as appropriate to requests for information, issues and complaints orally and in writing.
Main Duties/ Responsibilities:
•Operation of switchboard;
•Distribution of emails from general enquiries inbox;
•Note Verbales, accreditation of UK based staff;
•Incoming/outgoing diplomatic mail;
•Process and distribute mail and fax;
•Requisitioning and receiving;
•Visa facilitation for visitors;
•Travel and accommodation booking for Embassy staff and visitors;
•Overseeing transport requirements for the Embassy;
•Assistance and support to other sections as necessary;
•Line Management of one staff member;
•To undertake other duties that may reasonably be required and which are in accordance with the grading and core competencies of the job.
Essential qualifications and experience
•At least 2 years of relevant experience in an international company;
•Excellent customer service;
•Excellent team working skills and readiness to help colleagues;
•Strong interpersonal, communication and organizational skills;
•Ability to work effectively without close supervision;
•Able to be flexible and adjust to change;
•Strong results delivery oriented, easy at multi-tasking;
•Excellent command of English and Azerbaijani languages (verbal and written);
•A good level of Russian will be an advantage;
•Excellent IT skills, in particular Microsoft Word, Outlook and Excel.
