Personal Assistant
MAIN ROLES & RESPONSIBILITIES:
• Reporting directly to the Member of the Executive Board, the Personal Assistant provides executive support in a working relationship
• The Personal Assistant serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the Member of the Executive Board
• The Personal Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts
• Support and provide guidance to the Member of the Executive Board, working closely with another Board Members, line managers to manage the Bank’s vision and strategic tasks balancing and prioritizing conflicting demands
• Arrange and guide the meetings and provide briefing and background information for the Member of the Executive Board for all meetings, internal & external
• Takes notes and distributes meeting minutes, agendas and meeting packages.
• Meeting and greeting visitors at all levels of seniority
• Completes a broad variety of administrative tasks for the Member of the Executive Board including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
• Plans, coordinates and ensures the Member of the Executive Board ‘s schedule is followed and respected
• Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Member of the Executive Board’s time and office.
• Review and control all documents prior to presenting to the Member of the Executive Board’s signature and attention
• Dealing with incoming emails and letters, often corresponding on behalf of the manager
• Monitor and follow-up the orders issued by the Member of the Executive Board and report the outcomes of the orders and its impacts to the Member of the Executive Board
• Manage all preparatory activities to ensure the Member of the Executive Board’s participation at the international and regional events
• Provide detailed preparation for the Member of the Executive Board ahead of media interviews and press conferences
• Monitor local and international media and provide regular briefings on issues impacting on or likely to impact on and overall interest in Bank
• Develop strong relationships with the senior Directorates to facilitate communication and effective decision making
• Develop the database of the key government officials and manage better communications of the Member of the Executive Board with the key bureaucrats and government officials
• Manage the Member of the Executive Board ’s protocol works
SKILLS:
• At least 3-5 years of experience providing support at high level
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
• Expert level written and verbal communication skills
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Emotional maturity
• Highly resourceful team-player, with the ability to also be extremely effective independently
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
• Forward looking thinker, who actively seeks opportunities and proposes solutions
