Leasing Specialist (Shopping Malls Group)

Key accountabilities:

• Draft, review and revise various types of Lease Agreements in connection with the leasing process
• Review, markup and prepare redline responses to counter-offers made by prospective tenants
• Provide information and guidance related to premises and lease matters as requested by the Lease Manager
• Facilitate and track routing and signature of various documents/forms/lease documents
• File, scan copy and distribute lease documents and other correspondence for execution and distribution
• Assist with leasing calls and schedule appointments
• Overall control of original lease documentation and maintenance of master lease files
• Receive and set up all lease documents into a file cabinet in accordance with requirements
• Assist Leasing Manager with all aspects of processing lease documents through lease execution

Required skills/experience:

• Higher education
• Minimum 2 years of experience in leasing or contracts administration
• Good communications and negotiation skills in written and verbal in Azerbaijani and English, Russian will be an advantage
• To be able to prioritize and perform multiple tasks

Key accountabilities:

• Keeping track of assigned accounts to identify outstanding debts
• Plan course of action to recover outstanding payments
• Locating and contacting debtors to inquire of their payment status
• Investigate and resolve discrepancies
• Update account status and database regularly
• Keeping accurate records and reporting on collection activity
• Locate and contact debtors about outstanding obligations

• Perform accurate and detailed reconciliations of rent accounts to ensure compliance with lease terms

• Tracking lease dates such as renewals/termination/extensions on a timely basis. Act as liaison with other departments
• Perform or review analysis of changes to determine their impacts on cost, schedule, and quality
• Maximize project revenues, exploit opportunities, and mitigate negative consequences of particular contract conditions; reduce the risk of potential disputes
• Preparing ADHOC reports for senior management

Required skills/experience:

• Higher education
• Minimum 2 years of experience in a similar role
• Good analytical & numeracy skills

Key accountabilities:

• Developing a profile of events, and event plan according to the Marketing strategy of each Mall
• Constant review and update of the annual event plans
• Constant liaison with partners regarding their plans, activities, events and for their expectations and collaborations for future events
• Constantly follow up city events. Liaise with major events that take place in the city for partnership
• Review and evaluate the delivery of the events to ensure the set goals are achieved both in short and long period
• Source and develop links with suppliers of ideas, equipment etc.
• Lead promotional activities for the events, brief graphic designer about the nature of the event, consult with the digital team for digital tools for attracting the target audience
• Supervise all staff members that are involved in events

• Analyze the event’s success and prepare reports

Project Procurement Specialist

Key accountabilities:

• Receives and reviews all procurement requests for completeness and identification of services/commodities required and established requirements.
• Determines priorities, develops work schedules, and assigns work to available subordinates based upon available manpower and resources.
• Ensures the accurate completion of all procurement requests to include the proper documentation of materials and cost expenditures.
• Reviews quality problems with engineering personnel and directs action required to correct defects.

• Maintains tender process according to Company procedures
• Drafts contract/modification/termination and other contract related documents, these actions include applying interpreting and advising local laws/practice when obtaining specific contract documents/certificates, such as; performance bonds, payment bonds and insurance.
• Finalizes contract language with Commercial Officer, assists in preparation of other contract related documents.
• Analyzes and resolves any of a wide variety of problems encountered through coordination with contractors/supplier/requesting office/shipping office/receiving office and payment office.
• Prepares reports to the Procurement Manager, when required, regarding contractor/vendor/supplier capability and/or performance.
• Monitors all outstanding purchase orders and requisitions to ensure fulfillment or cancellation without loss of funds.
• Maintains required administrative files and records pertaining procurement.
• Provides guidelines, explains and interprets requirements as well as planning required training to subordinates, schedules/approves leave ensuring the maximum availability of personnel at all times.
• May travel occasionally, primarily in the local area.

Required skills/experience:

• A bachelor’s degree or higher.
• 5-6 years of experience in construction industry
• Excellent communication, organizational and analytical skills.
• Knowledge of Azerbaijani, English and Russian languages.
• Knowledge of ERP, planning, scheduling, budgeting and performance measurement systems and their application is preferable.
• Knowledge of construction tools and equipment.
• CIPS certification is preferable.
