1. Receptionist – Port Baku Towers

Key accountabilities:

• Manage the day-to-day operations of the office
• Assist management with administrative issues
• Ensure all office correspondence is managed effectively
• Prepare letters and documents;
• Receive and sort mail and deliveries;
• Schedule appointments;
• Maintain appointment diary either manually or electronically;
• Organize meetings;
• Manage internal mail process
• Assist with translation of documents, when required
• Assist Management in admin matters such as receiving guests, filing, etc.
• Any other duties which may be reasonably required by the Management

Required skills/experience:

• Good customer service skills
• Good organizational skills
• Good interpersonal and communication skills, and the ability to effectively interface with personnel at all levels
• Strong work ethic
• Demonstrated ability to handle administrative details, and routine day-to-day issues independently, assuming responsibility without direct supervision
• Fluency in English, Azerbaijani and Russian
• Good IT skills (Word, Excel, Outlook)

Working shifts: 09:00 – 18:00, 10:30 – 19:30 (5 days/week)


2. Receptionist – Port Baku Residence

Key accountabilities:

• Manage the day-to-day operations of the office
• Assist management with administrative issues
• Ensure all office correspondence is managed effectively
• Receive and sort mail and deliveries;
• Schedule appointments;
• Maintain appointment diary either manually or electronically;
• Organize meetings;
• Assist with translation of documents, when required
• Assist Management in admin matters such as receiving guests, filing, etc.
• Any other duties which may be reasonably required by the Management

Working shifts (5 days/week): 07:00 – 16:00 and 14:00 – 23:00 on weekdays, 09:00 – 18:00 and 12:00 – 21:00 on weekends.


3. Customer Services Assistant (28 Mall)

Key accountabilities:

• Greet and direct guests upon arrival, provide them with information they need and answer other questions as best they can;
• Provide customers with information brochures;
• Identify interested and qualified customers in order to provide them with additional information;
• Acting as a spokeswoman for the event, coordinating with organizers, other staff members or featured guests – such as managers, artists and caterers, and mingling among the crowd to make sure the event is on track and people are enjoying themselves;
• Deal directly with customers either by telephone, e-mail or face to face
• Respond promptly to customer inquiries
• Handle and resolve customer complaints
• Obtain and evaluate all relevant information to handle inquiries and complaints
• Direct requests and unresolved issues to the designated resource
• Record details of inquiries, comments and complaints
• Communicate and coordinate with internal departments
• Manage issue of lost car parking tickets
• Preparation of daily base reports (lost and found, work permit list and etc.)
