Position Summary:

The Project Manager is a key full-time role that supports the CEO and senior leadership in managing important projects across the company. This role provides a great opportunity to shape the future of our hotel portfolio by leading key initiatives at both property and corporate levels. The ideal candidate will not only excel in managing projects but will also be trained for senior operational roles within hotels, gaining experience in all areas of the business. Strong collaboration, problem-solving, and leadership are essential as you work with finance, sales, and marketing, operational teams to ensure smooth project execution and alignment with company goals.

Key Accountabilities:

  • Lead the definition of project scope, strategy, and objectives, involving all relevant stakeholders and ensuring technical feasibility.
  • Coordinate internal resources and third parties for the flawless execution of projects.
  • Ensure that all projects are delivered on time, within scope and within budget.
  • Perform research associated with projects.
  • Ensure resource availability and allocation.
  • Develop a detailed project plan to monitor and track progress.
  • Manage changes to the project scope, project schedule and project costs.
  • Measure project performance using appropriate tools and techniques.
  • Report and escalate to management as needed.
  • Manage the relationship with all stakeholders.
  • Create and maintain comprehensive project documentation.
  • Develop spreadsheets, diagrams and process maps as required.

Administrative Support and Other Duties:

  • Calendaring, meeting logistics, and some travel support to the CEO and senior management team.
  • Create meeting agendas and set meeting schedules.
  • Distribute meeting materials.
  • Develop, revise, and maintain Standard Operating Procedure documents associated with this position.
  • Prepare and review all letters/documents for CEO signature.
  • Communicates with the general staff on CEO behalf and coordinates logistics with high- level meetings both internally and externally. Coordinates meetings and strategic activities with the Management Team.
  • Drafts reports, letters of solicitation, and proposals; prepares and coordinates oral and written communication with different Companies and Clients.
  • Supports the CEO in his external commitments including service on external boards, committees and other groups.
  • Processes and manages Absheron Hotel Group memberships and affiliations with other organizations.
  • Serves as the CEO administrative liaison to the Directors, which includes coordinating meetings, luncheons and dinners.
  • Coordinates Executive meetings, maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off-site to support the CEO agenda.
  • Completes projects assigned by the CEO
  • Provide assistance as needed to greet and signing in visitors/guests coming to CEO.
  • Quarterly BSA Audits in AHG Properties: Conduct and review quarterly BSA in AHG Properties to ensure compliance and efficiency.
  • Periodically to check BSA check list updates from MGS and provide Leaders accordingly.
  • Weekly Progress Updates:  Collect and review weekly progress updates for GSS and Booking.com from relevant sources.
  • Monthly GSS Report vs. KPIs: Prepare and analyze the monthly GSS report, comparing it against (KPIs) to track performance.
  • Meeting Coordination and Documentation: Organize weekly meetings, ensure accurate notes are taken, and communicate outcomes to relevant leaders.
  • Monthly P&L Meetings: Schedule and manage monthly P&L meetings. Ensure the agenda and related reports are prepared and follow up with properties to ensure alignment.
  • Academy Communications: Oversee all communications and follow-ups related to the Academy.

Qualifications

  • Communication skills are utilized a significant amount of time when interacting with others; demonstrated ability to interact with customers, associates and third parties that reflects highly on the hotel, the brand, and the Company.
  • Proven ability to work under pressure and meet multiple tight deadlines.
  • Proficient in the use of Microsoft Office with excellent typing skills.
  • Strong problem solving, analytical, reasoning, motivating, organizational abilities.
  • Excellent communication skills both written and verbal.
  • Confidentiality.
  • Flexible and possess initiative to see all assignments and projects through to completion unsupervised.
  • Fluent in English/Azeri both written and verbal required. Turkish desirable.
